"Mujhe API chahiye ya app hi kaafi hai?" We get some version of that question on WhatsApp all the time, usually from an owner who has heard that serious businesses "need the API" and is ready to pay for it. Quite often our honest answer is: not yet.
The WhatsApp Business App and the WhatsApp Business Platform (the API) are not a cheap and an expensive version of the same thing. The app is a phone tool for one person. The API is Meta's official connection for business software: a shared inbox, AI replies, approved broadcasts and a link to your CRM. Which one you need depends far less on your size than on how your chats actually get answered. So instead of a feature table, here are five businesses we see again and again, and what we would tell each of them.
Before the scenarios, ask yourself two things. How many people need to reply to WhatsApp on a normal day? And what happens to a message that arrives at 11 pm?
If the answers are "just me" and "I reply in the morning and nobody minds", the free app is fine. If the phone is being passed around the counter, or late-night messages quietly turn into lost sales, you have outgrown it. Everything below is a version of those two questions.
Picture a clothing boutique run by the owner from home, selling through Instagram and WhatsApp. She answers every chat herself, knows most customers by name, and gets busy in bursts around a new collection or before Eid.
For her, the API would mostly add a monthly bill. What she needs is to use the app she already has:
The one thing that will frustrate her is broadcasts. In the app, a broadcast list only reaches people who have saved her number, and many customers never do. If her new collection message keeps reaching only part of her list, that is usually the first real sign she is ready to look at the platform.
A family clinic or a dental practice usually has one receptionist holding the WhatsApp phone. Patients ask for doctor timings, the consultation fee and the location, and they want to book. During clinic hours this works. The trouble shows up at two moments: when the receptionist is busy with patients at the desk, and after the clinic closes.
A message like "Kal doctor sahab kitne baje aayenge?" sent at 10 pm sits until morning. By then the patient may have called another clinic. An away message cannot answer that question. An AI assistant on the API can, because it reads the question and replies from the timings you gave it.
Our advice for most clinics: if bookings are steady and the receptionist keeps up, stay on the app. If you are losing evening bookings, or a second person now needs to reply, the platform with Coexistence makes sense. The receptionist keeps the same phone and number, and the AI handles the after-hours timing and booking questions. Medical questions always go to a person, never to the bot.
An e-commerce store selling across Pakistan gets a different kind of traffic: order status, delivery charges to Quetta or Sukkur, cash on delivery, "medium mein available hai?". Many of these arrive at night, right after people see an ad. Two or three staff members try to answer from WhatsApp Web on one shared number.
This is the business where the free app breaks first:
On the platform, a shared inbox gives each staff member their own login and lets you assign chats. AI replies cover the repeated questions at any hour. Approved templates can send order and dispatch updates automatically, and every chat can land in your CRM. If your store fits this description, the question is no longer "app or API" but which setup. Our WhatsApp automation page shows the kind of flows stores usually start with.
A real estate office running ads for a housing project might have five agents and one WhatsApp number on the ads. Every lead is valuable, and the questions are always the same: who got this lead, did anyone reply, and what was promised?
On the app, that is nearly impossible to answer. On the platform, each lead can be assigned to an agent, the conversation stays in one shared history even if an agent leaves, and the buyer's details sync to the CRM with the source of the lead. The AI can share project basics, plot sizes and payment plan basics, and ask the buyer's budget and preferred area before handing over. The price of a specific file, ownership details and anything legal stay with your team.
For a team like this, we would move to the platform even if the volume were moderate, because one lost or double-handled lead costs too much. Pair it with CRM automation so follow-ups do not depend on anyone's memory.
Schools, academies and coaching centres often have a quiet year and a few hectic weeks. During admissions, parents ask the same things again and again: documents, fee structure, test dates, timings. The rest of the year, WhatsApp is calm.
So judge it by the busiest weeks. If the office copes during admission season with quick replies and a well written away message, stay on the app. If parents wait a day for a fee structure while your staff copy and paste the same answer, the platform with AI replies is worth it, and the office phone keeps the app through Coexistence for everything else.
When owners see the dashboard for the first time, many expect to type any customer's number and send a message for free, the way they do on their phone. That is not how the platform works, and it is worth knowing before you decide.
Meta sets and changes these per-message prices, and they depend on the customer's country and the type of message, so treat any figure as "around" and check it before a big campaign. We broke down real monthly budgets in our guide to WhatsApp Business API prices in Pakistan. On top of that there is the provider's monthly fee for the inbox, AI and integrations. At AMEVIX DIGITAL, WhatsApp plans start from PKR 12,000 per month, and the details are on our pricing page.
Some owners hope the official platform will protect a number that keeps getting restricted. It helps, because it replaces risky bulk senders and modified apps with Meta's own route. But it does not change what Meta allows.
We have seen a client's account disabled under Meta's Commerce Policy within a day of connecting, because of what they sold: paid gaming services and followers. A new number added to the same account was blocked too. No setting on our side could have prevented it. In another case, a number was restricted after only a handful of messages. The cause was not volume but the number's history and the products involved.
So before you pay for any setup, check that what you sell is allowed on WhatsApp. When we onboard a business, that check comes first, followed by warm-up guidance for new numbers, a link guard and proper opt-out handling. None of it is a guarantee, because Meta makes the final call, but it removes the risks you can actually control.
Not sure which of these five businesses you look like? Send us a short description on WhatsApp, or request a WhatsApp audit, and we will tell you honestly whether the app is still enough. Sometimes the right answer is to wait, and that is a perfectly good answer.

No. The WhatsApp Business App is free, but the API is used through a provider who charges a monthly fee for the inbox, AI and integrations. Meta also charges for template messages, at rates it sets and changes by country and message type.
Usually yes. With Coexistence, your existing number stays on the WhatsApp Business App on your phone and is also connected to the official platform, so customers keep messaging the number they already know. The number still has to meet Meta's rules, so get it checked before setup.
With Coexistence, Meta shares your past chats and contacts during onboarding, and your chats also stay in the app on your phone. Old photos and files can take longer, because downloading everything at once runs into Meta's limits. At AMEVIX DIGITAL we load old media when someone opens that chat.
No. Replies to customers who wrote to you are free. If someone has not messaged you in the last 24 hours, your first message must be an approved template, and Meta charges for it.
Broadcast lists in the WhatsApp Business App only deliver to people who saved your number in their contacts. Anyone who did not save it never gets the message. Template broadcasts on the API reach customers who opted in, whether or not they saved your number.
On the app, one main phone plus a few linked devices like WhatsApp Web, all looking at the same chat list with no way to assign chats. On the API, a shared inbox gives each staff member their own login, and chats can be assigned and tracked.
The official platform is far safer than bulk sending tools or modified apps, but nobody can promise a number will never be restricted. Meta decides based on your messages, your number's history and what you sell. Opt-in contacts, useful messages and slow growth keep the risk low.
You need a Meta business portfolio to connect a number. Completing business verification with valid business documents is strongly recommended because it helps with trust and sending limits. Your provider can tell you what Meta asks for in your case.
Yes. An AI assistant on the platform can read and reply in Urdu, Roman Urdu and English, using your own prices and policies. It should hand the chat to a person for complaints, refunds or anything it is not sure about. AMEVIX DIGITAL sets up these replies along with the handover rules.
Not necessarily. If one person answers every chat on time and broadcasts are not a problem, the free app with a catalog, quick replies and labels is enough. Look at the API when late-night messages turn into lost sales or more than one person needs to reply.
