"If I connect the API, will my old chats disappear?" That is the first thing almost every owner asks us, usually while holding the phone a little tighter. Fair enough. That phone holds years of customer conversations, and the number is printed on your shop board and visiting cards.
The short answer is no. With WhatsApp Coexistence, the WhatsApp Business App stays on your phone and the official WhatsApp Business Platform (the API, the system that lets software reply for you) connects to the same number. Your chats stay where they are. But a few setup screens can cost you with one wrong click, and a few things change afterwards. Here is the walk-through we give owners on a call.
Most failed connections we see fail before the first screen. Do these first, on the actual phone that runs the business number.
Also, the number should be in real, regular use on the Business App. A SIM activated last week is a poor candidate, and a number with recent restrictions should be sorted out first.
You need two things in front of you: a laptop or computer with the signup link from your provider, and the business phone in your hand with WhatsApp Business open. Meta updates these screens from time to time, so the wording can differ slightly, but the order stays roughly the same.
Clicking the connect button opens a small pop-up asking you to log in to Facebook. If nothing happens, your browser has probably blocked the pop-up. Allow pop-ups for that page and click again. Log in with the account that has admin rights on your business portfolio, not a random staff profile.
Next you pick which business this number belongs to, or create a new portfolio. If you see two portfolios with similar names, stop and check. Untangling the wrong one later is slow. Use your real business name, website and country here, because Meta reads these details.
At some point the flow asks how you want to set up the number. One option is to connect your existing WhatsApp Business App. The other path is to add or register a number for the API only. Choose the option to connect your existing WhatsApp Business App. The other path is meant for numbers that will live only on the API, and taking it with your shop number can move it off the app on your phone. If you are unsure, close the window and ask. Nothing is lost by stopping here.
You type in the business number with the country code. The computer then shows a QR code. On the phone, the Business App guides you to scan it and asks you to confirm that you want to connect the number to the business portfolio. Keep the phone on Wi-Fi or good mobile data during this step. A weak signal is the most common reason it times out.
Before finishing, the app asks whether you want to share your chat history with the business platform. If you say yes, recent one-to-one chats are copied across so your team inbox shows past conversations, not just new ones. Meta decides how far back this goes. If you say no, the dashboard starts empty and fills up with new messages only. We usually recommend yes, because the AI and your staff answer better with that context.
After the final confirmation, the laptop window shows a success message and closes. That is the connection done. The next part happens in the background.
This is the part that surprised us the first time. Once you agree to share history, Meta does not hand over one neat file. It sends your past chats and your contacts across in batches, message by message, over the following minutes and sometimes longer. Your phone stays exactly as it was. Nothing is deleted from it, and your groups do not move at all, because the API only handles one-to-one chats.
On the dashboard side, contacts arrive with the names you had saved, and the older conversations fill in behind them. Text appears quickly. Photos, voice notes and documents are a different story.
When we first built our history import, we tried to download every old photo and voice note the moment it arrived. For a busy shop number that is a huge pile of files, and we hit Meta's rate limit almost straight away. Now we bring in the text and the contact first, and fetch the media for a chat only when someone actually opens it.
So if an old photo shows as a placeholder for a moment before loading, that is by design. If your provider tries to pull everything at once, ask how they handle Meta's limits.
Very old chats may stay only on the phone, because Meta sets the history window, not your provider. They are still there, like always.
Do not switch on AI replies for everyone straight away. Spend a day checking that both sides see the same conversation. Our routine:
Your Business App keeps working, but a connected number is not exactly the same as before. These are the ones owners notice:
Once the dashboard is live, many owners want to message every customer in the list about an Eid offer. We have this conversation almost every time. When a customer messages you, a 24-hour window opens in which your replies are free. Outside that window, a first message to someone who has not written to you must be an approved template, and Meta charges for those at around the per-message rate it sets for your country, which it changes from time to time.
Messages you type from the Business App on the phone stay free, as they always were. The paid part is the template you send from the dashboard to someone who has not messaged you recently. Budget for it, and send templates only to people who agreed to hear from you. A bought list is the fastest way to get a number restricted.

Honestly, it is the right fit for most small businesses in Pakistan whose number is already known: printed on shop boards, listed on Google Maps, stamped on prescription slips or delivery bags. Changing that number would cost you customers, and Coexistence means you do not have to. A clinic in Lahore or a clothing shop in Faisalabad can keep the receptionist or the owner on the phone while WhatsApp automation answers the "price kya hai" and "location bhej dein" questions at night and saves each enquiry as a lead.
It is a weaker fit if your whole team works only from computers and nobody touches the phone, or if your business runs mostly on group chats. In those cases a number that lives only on the API can be simpler.
When we connect WhatsApp Coexistence for a client, we do it on a short call. We check the app version, the number's status and the portfolio first, the owner logs in and scans the QR code on their own phone, and we watch the history import together. Then the AI is trained on the business's prices, timings and FAQs and tested for a few days. It runs on the official WhatsApp Business Platform, with one dashboard for the inbox, AI replies in Urdu, Roman Urdu and English, contacts with opt-in, and CRM sync. Plans start from PKR 12,000/month, and the pricing page shows what each one includes.
If you are not sure your number is ready, that is a fair place to start. Book a short call and we will check the app, the number and the portfolio with you before anything is connected.

No. Your chats stay on the phone exactly as they were. During setup you can also choose to share recent one-to-one chat history with the platform, although Meta decides how far back that goes. Take a normal chat backup first anyway.
Yes, if the number is already on the WhatsApp Business App. Coexistence connects that same number to the official API while the app keeps working on your phone. In the signup, choose the option to connect your existing WhatsApp Business App, not the one for a new number.
Not directly. Coexistence only works with the WhatsApp Business App. Move the number to the Business App first, use it normally for a while, and then connect it.
The usual reasons are an old version of the Business App, a Facebook login without admin rights on the business portfolio, a blocked pop-up window, or a weak connection on the phone while scanning the QR code. Sometimes the number is simply not eligible yet, and the signup will say so.
No. The API handles one-to-one chats only, so your groups stay on the phone and carry on as normal. Customer chats are what move into the shared inbox.
A good setup brings in text and contacts first and downloads old media only when someone opens that chat. Pulling every old photo at once can hit Meta's rate limits. AMEVIX built its history import this way after running into exactly that.
Yes, that is the point of Coexistence. You keep replying from the Business App, and your replies also show in the dashboard thread. Agree with your team who answers which chats so customers do not get two replies.
Replies to a customer within 24 hours of their last message are free. Starting a conversation with someone who has not written to you needs an approved template, and Meta charges for those at around the per-message rate it sets for each country. Messages you send from the app on your phone stay free.
If the app is updated, the number is active and your Meta Business portfolio is ready, the connection itself fits in one short session. The history import can take a little longer in the background. With AMEVIX, training and testing the AI on your business usually takes a few more days.
Meta expects the app on the phone to be used regularly. If it sits unopened for a long period, the connection can drop and you will need to connect the number again. Keep the app on a phone someone uses every day.
