At 8:40 on a Tuesday morning, the owner of a furniture showroom in Lahore picks up his phone before he has finished his tea. WhatsApp shows dozens of unread chats from the night before: customers, suppliers, his cousin. Somewhere in the middle is a voice note from a woman in Johar Town asking whether the walnut dining set from last week's Instagram post is still available. He means to reply after breakfast.
Below, we follow his day through the ten tools his business runs on, then replay it from one dashboard, then give you a consolidation plan for this month. The showroom is a made-up example, but most of this day will feel familiar.
What he and his team use, in the order the day touches them:
9:30 am. A salesperson arrives and opens his own phone. A customer he spoke to on Saturday has written twice asking for the final price on a sofa. The owner has no idea this conversation exists, because it lives on a phone he never sees.
11:00 am. The owner remembers the Johar Town voice note. He scrolls past forty chats to find it, listens, and replies that the dining set is available. She answers politely: she ordered one from another shop last night, because nobody replied.
12:30 pm. His marketing person says last week's Facebook ads brought in a good number of leads. The Excel sheet has fewer than half that many. Nobody can say whether the rest were called, ignored or never copied over from the lead centre.
2:15 pm. A repeat customer calls about the cupboard she ordered in March. The order is in the accounting software, but the delivery date was agreed on WhatsApp with a salesperson who has since left, and his phone left with him.
4:00 pm. A website enquiry for a full bedroom set lands in Gmail, which only the owner's nephew checks. He is at university until evening.
6:45 pm. The owner wants to send an Eid offer to past customers. Their numbers are spread across three phones, the Excel sheet and the CRM. He spends an hour building a list and is still not sure it is complete.
10:30 pm. Three new WhatsApp messages arrive asking for prices. The shop is closed. They will be read tomorrow, somewhere between the forty other chats.
Nobody in this story is lazy, and every tool works. The day still leaks.
The losses are not inside any single app. They sit in the gaps, wherever a person had to remember, copy or forward something by hand.
No report has a line called "lost to slow reply". The buyer just goes quiet.
Now move the customer-facing work into one place. WhatsApp, Instagram, the website form and the Facebook leads all feed one inbox and one lead list. The accounting software stays where it is, but it is connected.
10:30 pm, the night before. The three late messages get an answer straight away from an AI agent, in Roman Urdu, because that is how the customers wrote. It shares the price range for the dining set, asks which area they live in, and either books a showroom visit or flags the chat for a salesperson in the morning.
The voice note. With a voice add-on, the AI can understand the Johar Town voice note too. One thing we learned setting this up: speech-to-text sometimes writes Urdu in Hindi script, and our AI started replying in Hindi until we forced Urdu transcription. If your customers send voice notes, test with real ones before you go live.
9:30 am. The owner opens the dashboard on the shop laptop. Every chat has an owner, a status and a note. The Saturday sofa customer shows as "Quote sent", assigned to the salesperson, with a follow-up reminder due today.
12:30 pm. The lead report shows leads by source, how many were contacted and how many bought, without anyone building a sheet.
2:15 pm. The repeat customer's history sits in one record: her chats, the agreed delivery date and the invoice reference pulled across from the accounting software. The salesperson who left does not matter, because the conversation never lived only on his phone.
6:45 pm. The Eid offer goes out as an official WhatsApp template to contacts who opted in. Owners are often surprised by one rule here. A first message to someone who has not written to you in the last 24 hours has to be a paid, Meta-approved template, while your replies to customers who message you are free. Meta sets and changes the per-message price, so budget for it as a small cost per send.
And the owner keeps the WhatsApp Business App on his phone. With WhatsApp Coexistence, the same number works on the phone and in the team inbox at the same time.
Consolidating does not mean deleting every app you own. The point is to put customer conversations, leads and sales in one place, then connect the rest.
Keep a specialist tool when it does deep or regulated work well. Accounting software your accountant relies on for tax is the obvious one. Payroll, a clinic's patient records, a school's fee system and a warehouse stock system are others. Replacing them is rarely worth the risk. Connect them instead through an API integration, so a won deal can create an invoice, or a new order can update the customer record, without anyone typing it twice.
A rule that works for most businesses: if a customer sees it or a salesperson lives in it, it belongs in the dashboard. If only the back office touches it, connect it and leave it alone.
Be realistic about size, too. If you are a two-person business with a handful of enquiries a week, all on one WhatsApp number, you probably do not need this yet. The case gets strong once leads arrive from three or more channels and more than one person replies to customers.
None of this needs a big weekend switch. A calm, staged move works better.
A note on old WhatsApp chats, because owners always ask. During Coexistence onboarding, Meta shares your past chats and contacts with the new system. When we first did this, downloading every old photo at once ran into Meta's rate limit, so now we fetch media only when someone opens that chat. The history is there. It just loads as you need it.
Your customer list is one of the most valuable things your business owns. Ask these questions of any system, including ours:
When we build this for clients, one dashboard holds the WhatsApp inbox, AI agents, CRM and reports, running on the official Meta Cloud API with Coexistence, and the number and data stay in the owner's name. WhatsApp plans start from PKR 12,000 per month. For the sales side we either build a custom CRM around how you already sell, or add CRM automation for lead capture, follow-ups and reports.
Even on the official platform, nobody can promise a number will never be restricted, because Meta makes that call. We have seen a client's account disabled within a day of connecting, purely because of what they sold, and no setting could have prevented it. What you can do is lower the risk: stay on the official platform (unofficial bulk-sending tools are a common reason numbers get restricted), run a business check before you start, warm up new numbers, message only opted-in contacts and handle opt-outs fast.
If you want a starting point, spend ten minutes today writing down that list of tools and phones. Then send it to us, and we will tell you honestly what to replace, what to connect, and whether you need a single dashboard yet at all.
See how this looks in practice across our AI automation, custom CRM and lead generation services, or tell us the outcome you need.
In most cases, yes. With WhatsApp Coexistence on the official WhatsApp Business Platform, the same number keeps working in the WhatsApp Business App on your phone and in a shared team inbox. Meta decides eligibility, so it is checked during setup.
With Coexistence, Meta shares past chats and contacts during onboarding, so your history can come across. Old photos and files may load when you open a chat rather than all at once. Keep your own backup before switching anything off.
Not quite. Replies to customers who have messaged you are free, but a first message to someone who has not written in the last 24 hours must be a paid, Meta-approved template. Meta sets and changes those per-message prices, so plan for a small cost per send.
It depends on how many channels, users and integrations you need. Compare it with the full list of subscriptions you already pay, not just one app. At AMEVIX DIGITAL, WhatsApp plans start from PKR 12,000 per month, and our pricing page covers the rest.
Usually not. Accounting, payroll and industry systems do specialist work, and your accountant may depend on them. It is better to connect them to the dashboard so sales data flows across without anyone typing it twice.
A small business starting with WhatsApp and the website form can usually move in a few weeks. Teams with several integrations take longer. Running the old and new setup side by side for one to two weeks makes the switch much safer.
Yes, it can reply in Urdu, Roman Urdu and English, and hand the chat to a person when needed. Understanding voice notes needs a voice feature, which AMEVIX offers as an add-on at PKR 2,500 per month for 400 voice replies. Test it with real voice notes from your customers before going live.
Nobody can promise a number will never be restricted, because Meta makes those decisions, and what you sell matters as much as how you send. You lower the risk by using the official platform, messaging only people who opted in, using approved templates and handling opt-outs quickly.
It is often safer than spreading it across personal phones and shared spreadsheets, as long as the system has proper logins, roles and backups. Make sure only the right people can export data, and that admin access stays in the owner's name.
You should, and you should confirm it in writing before you start. Ask for a full export of contacts, chats and deals in a normal file format. With AMEVIX DIGITAL, the data and the WhatsApp number stay in your business name and can be exported.
